What type of information we have

For the purposes of recruitment and application we currently collect and process the following information:

  • Name and job title
  • Address
  • Contact details (phone, e-mail)
  • CVs and other information provided to us during recruitment

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Recruitment
  • To provide services to you
  • To fulfil our obligations to you

We may also receive personal information indirectly, from the following sources in the following scenarios:

  • Recruitment Agencies – When you apply through an external recruitment agency.
  • LinkedIn – When you apply online via the social media platform.
  • Information received from other sources – Including information we receive about you from third parties including business partners, sub-contractors, advertising networks and search information providers.

Under the UK General Data Protection Regulations (GDPR), tailored by the Data Protection Act (2018), the lawful bases we rely on for processing this information are:

  1. Your consent. You are able to remove your consent at any time by contacting
  2. We have a legitimate interest
  3. We have a contractual obligation

What we do with the information we have

We use the information that you have given us in order to process your job application.

We may share this information with recruitment agencies you have contacted us through.

How we store your information

We are committed to ensuring that the information we collect about you is secure. In order to prevent unauthorised access or disclosure, we only store your personal data on secure systems. Outside of our secure data stores, we use the following software to handle data:

  • Microsoft Office (including Sharepoint, Outlook, MS Teams)
  • Applicant Tracking System (ATS) within People HR

Data retention periods

 We keep CV’s and recruitment information for up to 12 months from date of application, unless expressly permitted to keep for longer.

Your data protection rights

Under data protection law, you have rights including:

  2. Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
